Due to continued growth and increasing project activity, we are looking for a structured and detail-oriented Document Specialist to join our team.

As a Document Specialist, you will play a key role in supporting our projects and operations by ensuring that critical documentation is accurate, accessible, and managed in accordance with company and customer requirements. You will work closely with project teams, engineers, customers, and suppliers, helping to ensure the efficient flow of information throughout the project lifecycle.

Key Responsibilities:

  • Manage, maintain, and control company and project documentation throughout its lifecycle
  • Ensure documentation complies with company, customer, and quality requirements
  • Coordinate document workflows, including review, approval, revision, distribution, and archiving
  • Maintain accurate records within electronic document management systems (EDMS)
  • Organize, store, retrieve, and distribute project and technical documentation
  • Monitor document status and provide regular reporting to project teams and stakeholders
  • Support engineers, project personnel, customers, and suppliers with documentation requirements and best practices
  • Perform document quality checks and audits to ensure accuracy and compliance
  • Contribute to the continuous improvement of document management processes and systems
  • Promote document management best practices across projects and departments.


Skills and Experience:

  • Experience working with document control, records management, administration, or information management
  • Strong organizational skills and a high level of attention to detail
  • Experience using document management systems or databases (EDMS experience is advantageous)
  • Good knowledge of Microsoft Office applications, and ERP systems such as Business Central and SAP is an advantage
  • The ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Strong communication skills and the ability to build positive working relationships
  • A proactive and solution-oriented approach to work

  • Highly organized and structured
  • Detail-oriented with a strong focus on quality and accuracy
  • Proactive and able to take initiative
  • Reliable and accountable in delivering results
