Administrative Specialist (Senior - Principal)

Job Duties

  • Under limited supervision provides high-level administrative and operational support to the Sr. Director of Global Marketing and Communications.
  • Acts as a partner to both the leadership and expanded department teams to manage complex, dynamic calendars, T&E and procurement card payments, vendor onboarding, and other administrative tasks.
  • Identifies opportunities to improve efficiency and administrative workflows.
  • Responsible for departmental ordering needs (P-card and invoices).
  • Supports planning and execution of leadership meetings, team engagements, and key events.
  • Collaborates closely with administrative staff in other departments.

Qualifications

  • Requires 5-8 years of experience.
  • Proven experience managing complex calendars at an executive-level with strong time-management skills.
  • Exceptional organizational skills and the ability to manage competing priorities in a fast-paced, highly visible environment.
  • Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Teams).
  • Requires the ability to maintain discretion and confidentiality in all interactions.
  • Has ability to analyze and resolve problems and can perform numerical, statistical, and/or financial analysis.
  • Requires strong communication skills to deliver information and respond to questions from a range of executive, customer, and vendor forums.

Candidates having qualifications that exceed the minimum job requirements will receive consideration for higher level roles given (1) their experience, (2) additional job requirements, and/or (3) business needs.  Depending on education, experience, and skill level, a variety of job opportunities might be available, including Senior Administrative Specialist or Principal Administrative Specialist.
